Abstract

Käesoleva diplomitöö probleemiks püstitas autor ettevõtte Digitrükk OÜ materjalide andmebaasi mittevastavuse tegelikkusele. Nimetatud probleem takistas efektiivset ja operatiivset ostutegevust ehk tootmise varustamist materjalidega. Autor tutvus uurimusega Flow Management for Manufacturing companies: Sustainable Re-organization of Material and Information Flows, mille fookuses oli projekt “Eco-efficienz”. Tegemist oli kolme aastasega projektiga, kus osales 12 erineva suuruse ja erineva tootmisharu tootmisettevõtet Saksamaalt. Nimetatud projekti eesmärgiks oli välja arendada uudne tootmisettevõtete juhtimisviis, mis võimaldaks suurendada keskmise suurusega tootmisettevõtetel oma tulemuslikkust ja konkurentsivõimet, vähendades seeläbi ettevõtte tegevuste mõju keskkonnale. Läbivalt kõigil projektis osalenud ettevõtetel oli probleeme materjalide andmebaasi mittevastavustega – see tekitas probleeme nii laovarude täpsuses, tellimuste täitmise kiiruses kui ka juhtimistasandi otsuste asjakohasuses. HS süsteemi ehk Harmoneeritud Süsteemi kasutuselevõtt on oluliselt lihtsustanud rahvusvahelist kaubavahetust ning andnud võimaluse vabakaubanduse arenguks. HS süsteemi kasutuselevõtt avas näiteks Indias aastatel 1987-2000 kohalikele ettevõtetele tee rahvusvahelisele kaubandusturule, mis aitas suurendada impordi osakaalu 82%. Tegemist on rahvusvaheliselt standardiseeritud ning ühtlustatud kodifitseerimise süsteemiga, mis võimaldab ületada keelebarjääre ning pidada ühtset arvestust kaubandustehingute üle. Ühtsete koodide kasutamine teeb tehingud läbipaistvamaks ning seeläbi on riiklikel organitel lihtsam jälgida näiteks erilist tähelepanu vajavate kaupade liikumist (ravimid, keemilised ühendid). Diplomitöö raames korrastas autor ettevõtte Digitrükk OÜ materjalide andmebaasi ning viis seal sisalduva informatsiooni vastavusse tarnijate andmebaasi ning materjalide hinnakirjades sisalduva informatsiooniga. Selle mahuka protsessi käigus õppis autor materjale tundma ning seejärel süstematiseeris materjalide andmebaasi koostades kodifitseerimise süsteemi ehk materjalidepuud, millest saab tuletada ettevõttes kasutatavatele materjalidele uued, ühtsed artiklikoodid. Vastavalt kogutud informatsioonile teabematerjalidest, on käesoleva diplomitöö autori tegevus lihtsustanud materjalide hankimisega seotud protseduure – ühtse süsteemi ja informatsiooni kasutamine vähendab möödarääkimisi ostutegevustes ning vähendab riski valede tellimuste esitamiseks tarnijatele. Sellega on loodud sisend ettevõtte varude juhtimise ning laoarvestuse süsteemi uuendamiseks. Autori poolt uuendatud materjalide andmebaas ei ole täna täielikult üle kantud ettevõtte majandustarkvarasse ning uut kodifitseerimise süsteemi ei ole võetud kasutusele. Uue süsteemi tegelikku kasumlikkust saab hinnata alles peale katseperioodi, mida täna ei ole veel käivitatud. Tegemist on ettevõttes mahuka arendusprojektiga, mille käivitamine on ajamahukas tegevus.

Materjalide andmebaasi süstematiseerimine Digitrükk OÜ näitel / The Systemization of Materials Database Based on the Example of Digitrükk Ltd. The major objective of this graduation thesis is to systemize the enterprise’s materials database by creating a new codification system. This thesis does not cover the naming of new article codes, only the phases before that. Codification is related to material database, therefore material and information flow and thus to greater or lesser extent, used in various businesses. This thesis can be helpful material to many enterprises, whose aim is to update their current codification system. Digitrükk Ltd. is a small, but capable enterprise, which future aim is explosive growth by targeting great growth in annual turnover by 200% by the end of 2020. This growth is expected to be achieved by updating current project-based production to volume-based production (mass production). The company’s field of activity is other printing services. Regarding to the predicted growth in production volume the number of incoming orders will increase and so will do the material turnover. In the accelerating information flow the base data, in this case the material database, must be reliable. This graduation thesis explores the role that a material database bears in company’s logistical activities and how is a codification system linked to it. To reach the set goal, that was to systemize enterprise’s material database by creating a new codification system, the author was looking answers to following questions: 1) What kind of materials are used in the company? 2) How to rationally systemize these materials? 3) What kind of bottlenecks does the current system hold for company? In chapter 2 the author presents the material and information flow and how codification is connected to that. The first part of the chapter introduces the importance of reliable material database based on the example of project Eco-efficienz. This project was in the focus of case Flow Management for Manufacturing companies: Sustainable Re-organization of Material and Information Flows, where during period of three years, 12 various-sized companies from different scope of production field participated to greate a new approach of production planning for medium-sized manufacturing enterprises. The aim of the new approach is to help increase the financial capability and profitability while reducing environmental impact of medium-sized manufacturing businesses. This project showed that the reliability of materials database was an issue throughout all participating companies. It affected different parts of business’ activities, starting from material and warehouse planning to orders fulfillment rate to management level decision-making. The rest of the chapter 2 covers codification systems and introduces HS system as an example of well-known and well functioning codification system. Codification systems help to uniform the way of working and thus minimize the oppurtunities for misunderstandings. In addition to that, the internationally used HS system helps to monitor and survey trading by national organizations to analyse import and export transactions. Documented data is used to create national trading policies, compile and analyze transport related statistics, monitor the movement of controlled goods, such as drugs and chemicals and to carry out economical studies. During the period of 1987-2000, when HS system was introduced to India, local businesses had more oppurtunities to reach international market, which resulted in import increase by 82%. Chapter 3 is the practical part of this thesis, where the author systemizes on behalf on the example of Digitrükk Ltd. company’s current material database by creating new codification system. During this process the author learns the materials used in production and classifies them using the example of HS system, where every new classification decribes the previous one more deeply. The result of this thesis is a set of material trees, which help to codify current and future articles. As learned from the examples of project Eco-efficienz and the HS system, this new codification system should simplify and unify the way of working inside Digitrükk Ltd. Currently the new, updated material database isn’t uploaded to company’s financial software and the new codification system is not in use. To learn the actual and presumably positive effects of the use of the new codification system, a (pilot) study must be held.
